What makes a good RFI
A strong RFI includes:
- A clear, specific question (not a complaint or a comment)
- The relevant drawing, specification, or contract reference
- The impact if the question is not answered (schedule, cost, or design)
- A requested response date
The AI formats all of these automatically based on the information you provide.
How to use the tool
- Open RFI Generator from the sidebar
- Describe the issue or question in plain language
- Provide the relevant drawing numbers or spec sections if you have them
- Select the type of RFI (architectural, structural, MEP, civil, etc.)
- Set the requested response date
- Click Generate RFI
You do not need to write in formal language. Describe the problem as you would explain it to a colleague and the AI will convert it into professional RFI language.
What the output looks like
The generated RFI includes:
- RFI number (auto-assigned based on your project history)
- Subject line (concise, specific)
- Reference (contract, drawings, specifications)
- Question (clearly worded, single-issue focus)
- Impact statement (schedule and cost implications)
- Requested response date
- Submitted by (pulled from your profile)
Exporting and sending
You can:
- Download as a formatted PDF ready to attach to an email
- Copy the text to paste into your project management platform (Procore, PlanGrid, etc.)
- Save to your project history for tracking
Tips for better RFIs
- One question per RFI. Multi-question RFIs are harder to track and often answered partially.
- Be specific about which drawing or detail you are referencing. "See structural drawings" is not enough.
- Include the consequence. "If not resolved by [date], concrete pour will be delayed" gets faster responses than a question with no context.
- Avoid leading questions that suggest the answer you want. Neutral, factual questions are more effective.
Frequently asked questions
Can I customize the RFI template? Yes. Go to Settings > Templates to modify the default RFI header, footer, and formatting to match your firm's standard format.
Does the tool track which RFIs I have sent? Yes. All generated RFIs are saved to your project history with their status. You can mark RFIs as answered, pending, or closed from the Past Reports view.
Can I generate bulk RFIs from a list? Batch generation from a list or punch list is on the roadmap. Currently each RFI is generated individually.
